Terms of Service

1. The service

CentreHQ is a tuition centre management platform operated by [to be confirmed] (company number [to be confirmed]), registered at [to be confirmed]. It provides enquiry management, study plans and homework, sessions and attendance, safeguarding records, billing, material stock management, staff management and communications for tuition centres. These terms are an agreement between us and the centre that subscribes (“you”). Parents, students and staff use the platform under your centre’s account.

2. Accounts and acceptable use

  • You are responsible for the accounts you create and for keeping credentials secure. Two-factor authentication is mandatory for staff-level accounts.
  • You must not use CentreHQ to send spam, store unlawful content, attempt to access other centres’ data, or probe, disrupt or overload the service.
  • You must give accurate information when subscribing and keep your billing details up to date.

3. Your responsibilities as a centre

  • You are the data controller for the family, child and staff data you put into CentreHQ. You are responsible for having a lawful basis to process it, for the accuracy of safeguarding data (authorised collectors, consents, medical notes), and for responding to data subject requests from your families.
  • You are responsible for the content of contracts, emails and messages you send through the platform.
  • You must comply with our Data Processing Agreement, which forms part of these terms.

4. Availability

We aim to keep CentreHQ available at all times but do not guarantee uninterrupted service. Planned maintenance is carried out, where practical, outside typical centre hours. We may suspend access to protect the platform or its data.

5. Fees

Fees are as agreed per plan when you subscribe; no prices are published on this site. Fees are payable in advance by the billing method agreed with you. We will give you reasonable notice of any change to your plan pricing.

6. Intellectual property and your data

  • The platform, its software, design and documentation remain the intellectual property of CentreHQ.
  • Your centre’s data remains yours. We claim no ownership of it and use it only to provide the service, as described in our Privacy Policy and Data Processing Agreement.
  • Your centre’s branding (logo, name, domain) remains yours and appears on your portal under your control.

7. Termination and data export

  • You may cancel at any time; there is no exit fee.
  • We may terminate for non-payment or material breach of these terms, after giving you notice and a reasonable chance to remedy.
  • On termination you can export your data. After export (or after a reasonable export window), your portal is switched off and your data is deleted in line with the Data Processing Agreement.

8. Liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited. Subject to that, we are not liable for indirect or consequential loss, loss of profits or loss of data caused by events outside our reasonable control, and our total liability under these terms is limited to the fees you paid in the twelve months before the claim arose.

9. Governing law

These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
